Carrier invoices · before the payment run

You are still spending time on this. Other companies already don't.

Jūs vis dar tam skiriate laiko. Kitos įmonės – jau ne.

Check every carrier invoice before you pay: right carrier, right bank account, delivered, billed to your client. One control across your TMS export, your accounting system and the PDFs carriers email you.

Check a sample payment run

For forwarders and transport companies working in Excel with Rivilė, Navision, Directo or a similar system: no integration, just the exports you already make.

What is checked

The questions a careful clerk asks, on every invoice.

  • Bank account changed

The IBAN differs from the carrier's previous invoices, your rate card or an account your team approved. Payment is held until the carrier confirms through a secure link and a person on your team approves.

  • Wrong carrier for the account or the shipment

The bank account belongs to another carrier on record, or the shipment was ordered from someone else than the company invoicing it.

  • Billed twice

The same invoice number again, the same shipment on two invoices, or the same carrier, route, date and amount under another reference.

  • No shipment, no signed CMR

An invoice line that matches no order or CMR in your register (by reference, then by carrier, route and date), or a shipment without proof of delivery.

  • Cost not billed to your client

A carrier cost whose shipment has no client invoice or selling price, or is sold for less than it cost.

  • Extra charges without basis

Waiting time beyond the free hours your arrival and departure times support, or extra stops the shipment does not have.

  • Price above what was agreed

Against the agreed carrier price on the order, or the rate card for the lane, vehicle and date. No price to compare with means “cannot verify”, never “overbilled”.

  • Fuel surcharge, totals, VAT, terms

Fuel against your fixed percentage or diesel-index rule, lines and totals that do not add up, VAT that differs from your rule, and due dates earlier than the agreed terms.

Rate cards and diesel-index tables are optional, for contracted lanes. Without them the check uses the agreed price on your orders and says plainly which prices it could not verify.

Sample data: the carriers, invoices, bank accounts and amounts are invented. The reasons are the product's own output on these files.

Before and after · example

Checking 300 carrier invoices a month.

By hand

30 hours

A clerk opens each invoice, finds the order and the CMR, compares the price, the extras and the bank account: 300 invoices at 6 minutes each.

With the check

About 2 hours

Upload three exports, read the holds with their reasons, approve the carrier requests. The OK-to-pay file goes to your bank or ERP.

Example figures, not a measurement: 6 minutes per invoice is the default assumption the product uses for “time saved”, and you can change it. Your numbers depend on how many invoices need a closer look.

Trust

Controls you can explain to your auditor.

  • Nothing is sent without you

A request to a carrier is drafted for you and leaves only when you approve it. You send it from your own mailbox.

  • Bank changes need two keys

The carrier confirms through the link, then a person on your team approves. The product never approves new bank details on its own.

  • Single-use links

The carrier link works once, expires after 14 days, and is stored only as a hash. The carrier sees their own invoice lines and the reason, nothing else.

  • Evidence on every line

Each finding names the file and row, or the PDF page and line, and the amount at risk. The same files give the same result every time.

  • A promise is not proof

A carrier saying “we will credit it” keeps the case open. It closes when the credit note appears in a file you upload.

  • Your files stay yours

Uploads are checked by content and scanned for malware. Your workspace is isolated from every other customer.

Resolved· OK to pay

You are still spending time on this. Other companies already don't.

Start with last month's carrier invoices and shipment export. The first 3 days are full access. After that, one payment-run check uses one review credit: €19, or €99 for 10. No subscription, a full refund within 14 days.
